At Frontline Wildfire Defense, our mission is to protect homes, families, and communities from wildfire disasters. Our innovative wildfire defense system allows homeowners to track wildfires, receive critical alerts, and actively safeguard their properties using a remotely operated fire protection system. With multiple layers of redundancy, our system hydrates homes and surrounding areas to prevent ignition from flying embers—the #1 cause of structure loss during wildfires.
We are a fast-growing team that has already achieved significant milestones in protecting homes across Northern and Southern California. Our team includes experienced engineers, product designers, and industry experts, and we are looking for a Recruiting and Onboarding Coordinator to help drive our efforts.

About This Opportunity

As a Recruiting and Onboarding Coordinator, you will play a pivotal role in supporting the recruiting function at Frontline. Acting as the right hand to our Talent Acquisition Specialists, you will manage interview logistics, candidate communication, and recruiting operations that ensure an outstanding candidate experience from start to finish. You’ll also support process improvement, onboarding coordination, and sourcing efforts, while learning the foundations of full-cycle recruiting. This role is ideal for someone detail-oriented, proactive, and eager to grow into a future Talent Acquisition Specialist.

Key Responsibilities

Candidate Management & Scheduling
  • Seamlessly manage interviews and video screen scheduling across multiple teams and time zones, including coordinating calendars, sending invitations, and handling last-minute changes in real-time.
  • Serve as the primary point of contact for candidates during the scheduling process, ensuring timely updates and clear communication.
  • Send interview confirmations, reminders, and follow-up emails to create a polished, white-glove candidate experience.
Applicant Tracking System (ATS) & Recruiting Operations
  • Maintain accurate and up-to-date candidate records in the ATS, including stage management, recruiter notes, and reporting.
  • Generate recruiting reports to track pipeline activity, hiring metrics, and progress toward goals.
  • Post job descriptions across internal and external platforms, ensuring accuracy and consistency with Frontline’s brand.
Sourcing & Pipeline Development
  • Support sourcing efforts by searching resume databases and leveraging social recruiting tools to build pipelines of potential candidates.
  • Partner with Talent Acquisition Specialists to identify qualified passive candidates for critical roles.
Offers, Compliance & Documentation
  • Prepare, send, and track offer letters and new-hire paperwork, ensuring accuracy and timeliness.
  • Coordinate background checks, reference requests, and other pre-employment screenings.
  • Ensure compliance with all hiring procedures, legal standards, and company policies.
Onboarding Support
  • Partner with Accounting and Business Operations teams to manage employment documentation and collect necessary new-hire information.
  • Send welcome emails to new hires with clear first-day expectations and prepare digital/physical welcome materials.
  • Assist with onboarding logistics to create a smooth and positive new-hire experience.
  • Lead the new hire’s first-day welcome call to ensure a smooth transition and positive experience
Process Improvement Opportunities:
  • Given our high-growth environment, this role offers a significant opportunity to streamline recruiting workflows and support ad hoc projects.

Qualifications

Must-Have:
  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 1–3 years of professional experience in HR, recruiting coordination.
  • 1+ years of candidate sourcing experience
  • Ability to manage multiple priorities and deadlines in a remote environment
  • Excellent organizational skills and strong attention to detail.
  • Outstanding written and verbal communication skills with a candidate-first mindset.
  • Proficiency with scheduling tools, Google Workspace (Docs, Sheets, Calendar), Calendly and Microsoft Excel.
  • Ability to thrive in a fast-paced, remote-first startup environment.
  • A can-do attitude and willingness to take ownership of both the big picture and the small stuff
  • Demonstrated interest in pursuing a career in recruiting or talent acquisition.
Nice-to-Have:
  • Proficiency with Applicant Tracking Systems (ATS) and HR software.
  • Exposure to recruiting or HR processes, especially in a startup or high-growth environment.
  • Familiarity with sourcing tools, LinkedIn Recruiter, or resume databases.

Compensation & Benefits

  • Competitive base pay: $26.00/hr to $33.00/hr, based on experience.
